Company SetupThis guide will assist you in setting up your company's profile in AutoCount HRMS regardless of whether you are a new user or existing user by providing a checklist of items required for the creation of the company. Checklist of items / information required when it comes to setting up a company : i) HRDF Contribution Percentage (0.5% / 1%) - Company that has less than 10 employees are actually required to contribute 0.5% of the company's monthly wages to HRDF and if a company has 10 or more employees then they are required to contribute 1% of the monthly wages to HRDF. ii) Default Claim Payroll Type - To determine how should your claims be processed; whether it be together with your first half or month end salary or individually in a claim processor. iii) Leave Roundup - To determine what are the options for leave applications (Full Day, Half Day, Hourly) iv) Calculate Year of Service By - To determine how should the leave entitlement be calculated, whether it be based on join date or confirmation date. v) Contact Person - Person in charge's information such as Name, IC Number, Position, Department, Email. vi) Statutory Information - Statutory information such as, company EPF No, Socso No, Tax No, and Employer File Number. vii) Retirement Age - Different company in different field / sectors have different retirement age, therefore, it is required to determine what is the retirement age for an employee in the company. viii) Contribution Settings - To determine which Payroll Items such as, Basic Salary, Bonus, Director Fee, Paid Leave, etc, is subjected to which statutory such as, EPF, SOCSO & EIS, Tax, and HRDF. ix) Paid & Unpaid Leave Daily Rate Calculation - To assign a calculation method on how should the daily rate of Paid & Unpaid Leave Daily Rate be calculated. x) Overtime Request Setting (If Applicable) - To set a restriction on when should an employee request for overtime when they are performing overtime during / out of working hours. xi) Net Pay Roundings - To perform roundings on employee's nett salary. xii) Bank Account - To setup company bank account information. Leave SetupThis guide will assist you in setting up the various types of leave in your company by providing a checklist of items required for the creation of the leave. Checklist of items / information required when it comes to setting up leave types in a company: i) Code - A code used to identify the type of the leave. Usually in a form of short form, example; code for 'Annual Leave' will be 'AL' or 'ANL', code for 'Medical Leave' will be 'MC'. ii) Description - A description is the full description of the leave type, usually used to describe the leave. Example; Description for 'AL' will be 'Annual Leave', description of 'MC' will be 'Medical Leave'. iii) Limits - An indicator used to determine whether the leave is allowed to be taken beyond it's balance or if the leave is only limited to it's balance. There will usually be three options: a) Unlimited - Leave can be applied indefinitely and the balance will NOT be affected in anyway. b) Limited with Advance - Leave CAN be applied in an advance manner where the balance could fall below 0 and become negative. c) Limited without Advance - Leave CANNOT be applied beyond it's balance, meaning once the balance hits 0, the employee will not be allowed . iv) Entitlement Calculation Method - An indicator used to define the calculation of the leave entitlement. There are 6 types of leave entitlement calculation method: a) Yearly Leave by Calendar Year - Leave entitlement will be calculated based on the employee's join year and be given in a lump sum. b) Yearly Leave by Employee's Join / Confirm Date - Leave entitlement will be calculated based on employee's join / confirm date and be given in a lump sum. c) Advance Earn Leave by Calendar Year - Leave entitlement will be calculated based on employee's join year and be given in a monthly basis, Example : January Entitlement will be given on the month of January. d) Advance Earn Leave by Employee's Join / Confirm Date - Leave entitlement will be calculated based on employee's join / confirm date and be given in a monthly basis. Example : January Entitlement will be given on the month of January. e) Earn Leave by Calendar Year - Leave entitlement will be calculated based on employee's join year and be given in 1 month later basis, similar like salary concept. Example : January's Entitlement will be given on the month of February, February's entitlement will be given on the month of March. f) Earn Leave by Employee's Join / Confirm Date - Leave entitlement will be calculated based on employee's join / confirm date and be given in 1 month later basis, similar like salary concept. Example : January's Entitlement will be given on the month of February, February's entitlement will be given on the month of March. v) Parent Leave Type (if applicable) - A function used to link one leave's application with another, example; Medical Leave parent's leave type is Hospitalization Leave. Upon applying for Medical Leave, the leave balance for Hospitalization Leave would also be affected as well. Meaning if employee applies for 5 days of MC, and upon approval, 5 days of MC and Hospitalization leave would be deducted from their balance. vi) Gender (if applicable) - A function used to determine which gender is allowed to apply for this specific type of leave. Example : Gender for Maternity Leave would be Female. vii) Advance Notice Days - A type of restriction for the specific type of leave where it would require the employees to apply leave in advance. viii) Is Unpaid? - To determine whether that specific type of leave is an unpaid leave. ix) Attachment is Required for Leave Application - To determine whether an attachment is required during the leave application process, commonly used for leave like Medical Leave, Hospitalization Leave, and such. x) Include Public Holiday and Rest Days - To determine whether leave applications on Public Holiday(s) and Rest Day(s) are allowed. Commonly used for Maternity Leave, Paternity Leave & Hospitalization Leave xi) Disable Prorate - To determine whether the leave balance will be prorated upon resignation, commonly used for leave types like Medical Leave, Hospitalization Leave, Maternity Leave and such. xii) Leave Require Replacement - This function will require employee to select a replacement for them upon leave application. The selected employee will not be allowed to applied for any leave or such during this period of time as he / she is the replacement for the leave applicant. Claim SetupThis guide will assist you in setting up various types of claims in your company by providing a checklist of items required for the creation of a new claim type. Checklist of items / information required when it comes to setting up claim types in a company: i) Code - A code used to identify the type of the claim. Usually in a form of short form, example; code for 'Parking Claim' could be 'Park', code for 'Marketing Claim' could be 'Mkt'. ii) Description - A description is the full description of the leave type, usually used to describe the leave. Example; Description for 'Park' could be 'Parking Claim', description for 'Mkt' could be 'Marketing Claim' iii) Is Limited to Defined Amounts? - To determine whether the claim has a limitation to it. If yes, tick it and the limitations / entitlements can be set in Entitlement Group. iv) Attachment is Required for Claim Submissions? - To determine whether the an attachment is required during the claim submission process. If yes, tick it and system will prompt the user an error message upon submission if they attempt to submit the claim without an attachment. v) Index - Numbering, usually auto filled in by system. vi) Title - Name / Title of the information you would like to acquire from user, example : 'Date' vii) Type - To determine the type of data. There are generally four types of data: a) Date : (dd/mm/yyyy) b) String : A sequence of characters, can be alphabets, numbers or a mixture of both. c) Number : A sequence of numbers only. d) Boolean : Only 'True' & 'False' option. viii) Is Required - To determine whether that field is required for employees to fill in any information during submission process. ix) Amount (Formula) - To preset a formula for calculation purpose during submission process. A calendar for every employee is essential especially if that employee is utilizing the e-Attendance module as the main functionality of the calendar is used to pre-determine the rest days & public holidays of the employee's overtime can be calculated accurately. Checklist of items / information required when it comes to setting up a new calendar: i) Code - A code used to identify the calendar. Usually in a form of short form, example: code for 'KL Based Calendar' could be 'KL'. ii) Description - A description is a full description of the calendar, usually used to describe the calendar. Example; Description for 'KL' would be 'KL Based Calendar'. iii) Holidays - List of holidays that the calendar gazettes. Employee SetupThis guide will assist you in setting up employees in your company regardless of whether it's the first time or not. Checklist of items / information required for the creation of employee(s) in a company: i) Employee Code (If any) - This code is a unique code that every employee will have in their profile. If you do not have any unique code or whatsoever, you may just use the system default by leave it at 'NEW' and the system will auto generate based on the latest number. ii) Employee Name - Employee's full name according to their NRIC. iii) Identity Card / Passport - IC / Identity card should always be maintain for locals or any employee(s) if they have one, if not then you will need to tick Is Foreigner and maintain the Passport number. iv) Martial Status - Marital Status are important for an employee as it is a mandatory field for users maintain. Other than, it affects the PCB Calculation as well as different marital status has different amount of rebate. v) Spouse Information (If any) - Spouse information such as whether spouse is working or disabled or not, number of tax deductible children and deductible child relief point. vi) Basic Rate - The employee's basic salary rate excluding all sorts of additions and deductions. vii) Department - Department is required to be maintain as it can be used for numerous functions such as report filtering, payroll processing, leave entry, announcements and many more. viii) Wages Type - To define how is the employee's salary / wage calculation, either based on Monthly, Daily, Hourly or Piece Rate. ix) Payment By - To define how will the employee will be paid. There are 3 options available, Cheque, Bank Transfer, and Cash. x) Pay Frequency - To define how frequent the employees will be paid. There are 2 options available, either monthly or fortnightly (every 2 weeks) xi) Join Date - Join date of an employee is important as it will affect numerous things such as leave entitlement, payroll process, etc xii) Employee Status & Retirement Date / End of Contract - Employee Status and the retirement is one of the requirement from the government as this information will be captured inside the CP8D. The retirement date is automatically calculated based on the retirement age maintain in the company profile. If the employee is not a permanent staff but a contract worker, then maintain End of Contract Date. xiii) Statutory - There are generally 4 statutory that you have to maintain when creating / maintaining any new employees. a) EPF Table - Used to define what is the EPF Contribution Rate from both employee and employer portion. b) SOCSO Category - Used to define what is the SOCSO Contribution Rate from both employee and employer. c) Tax Category - Used to determine what is the tax calculation rate for the employee. d) HRDF - Determine whether a company has to contribute HRDF to the based on the employee's wages or not. [Note: There will be no deductions for the employee] - There is also the statutory account number such as EPF, SOCSO & Tax Number. xiv) Additions & Deductions - Generally used to add fixed allowances (additions) and deductions that will recur every month. xv) Bank Accounts - If the employee were to receive the payment via Bank Transfer, you are then required to maintain their bank account information when you are creating the employee's profile. These are mainly the important / crucial information required for a smooth payroll processing. However, there are still many fields for users to fill in / maintain such as their genders, race, and many more.
