It ensures accurate attendance tracking and payroll calculation by setting standards clock-in and clock-out times for employees. Steps to Create a New Shift: Go to Human Resource > Shift & Rule. Go to Shift Maintenance. Click Add Shift. Enter the details: Code – Enter a shift code. Description – Enter a short remark. Clock In – Enter the shift start time. Rule MaintenanceRule Maintenance is used to define the working rules and restrictions for a shift. It ensures consistency in attendance tracking by setting conditions such as clocking methods, overtime limits, lateness rules, and shift behaviour. These rules act as the framework that governs how employee attendance is recorded and calculated within a shift. Steps to Create a New Rule: Go to Human Resources > Shift & Rule. Go to Rule Maintenance. Click +Add Rule. Enter the details: Code – Enter a rule code. Description – Enter a short description. Shifts – Select the applicable shift(s). Refer to Shift Maintenance to create shifts. At Daily Default Shift, assign shifts for each day of the week if needed. Configure Early Out / Lateness and Overtime Settings if required. Refer to Early Out / Lateness and Overtime Rounding. Configure Clocking Methods. Scroll down to view detailed setup steps. Click Save. Clocking Methods Setup A) Geolocation Tick Geolocation. Tick Geolocation is required to match with defined address. Select None or Take Photo / Validate Face Recognition at the Additional Action field if required. Click Add. Enter the Address, then click Get Location. Enter the Range to be included around the location. Click Save. B) Wi-Fi Tick Wi-Fi. Click + Add. Enter the Wi-Fi Name and Mac Address. Select the Additional Action if required. C) Bluetooth Tick Bluetooth. Click Add. Enter the Bluetooth Name and Address. Default RuleDefault Rule is used to define a commonly used working schedule that will automatically apply to employees who do not have a specific shift assigned or are not included in any shift schedule. When no individual or scheduled shift is available, the system will assign the Default Rule to ensure the employee still has a valid working schedule for attendance and payroll purposes. Steps to Set a Rule as Default Rule: Go to Human Resources > Shift & Rule. Go to Rule Maintenance. Locate the rule and click the pencil icon. Time Attendance Import (Excel)The Time Attendance Import feature allows users to upload attendance records in bulk using an Excel template. Imported attendance records can be used for attendance processing, overtime calculations, and payroll generation. Steps to import time attendance via excel import: Go to Payroll > Attendance Import. Click Template to download the excel template. Open the template and enter the attendance details. Save the completed Excel file. Return to the Attendance Import page. Click Select Data Source. Select Excel Import. Select the completed Excel file and click Open. Review the imported data and click Save. Click the pencil icon to edit an attendance record. Click the trash bin icon to delete an attendance record. Early Out / LatenessEarly Out / Lateness Settings at Rule Maintenance allow users to apply round up settings for employee late arrivals or early departures. This helps standardise time calculations and ensures consistency in payroll and attendance reporting. There are two available options: No Rounding – Early out and lateness are recorded exactly based on actual clock-in and clock-out times. Round Up – Early out and lateness values are rounded based on a selected time interval (5, 10, or 15 minutes). Steps to Set Early Out or Lateness Setting: Go to Human Resources > Short & Rule. Go to Rule Maintenance. Locate the rule and click the pencil icon. Scroll down to the Early Out / Lateness Settings section. Overtime RoundingOvertime Rounding is a setting maintained in Rule Maintenance that determines how overtime (OT) hours are rounded before being used for attendance and payroll calculations. There are three rounding options available: No Rounding, Round Up, and Round Down, with selectable time intervals including 5, 15, 30, 45 minutes, or 1 hour. Calculation: Overtime Worked Hours = Total Worked Hours − Shift Working Hours Acceptable Overtime Worked Hours = Overtime Worked Hours − Excluded Overtime Hours Final overtime hours are then adjusted based on the selected rounding rule. Scenario Example: Shift Time: 10:00 AM – 4:00 PM Break: 1 hour OT Rounding: Round Up Rounding Time: 15 minutes Clock In: 10:36 AM Clock Out: 5:48 PM Calculation: Total Worked Hours: 5:48 pm - 10:36 am = 7 hours 12 minutes Overtime Worked Hours: Total Worked Hours - Shift Working Hours = 7.2 hours - 5 hours = 2 hours 12 minutes Excluded Time: Before Shift Time + Break Time = 0 hour + 1 hour = 1 hour Acceptable OT: 2.2 hours - 1 hour = 1.2 hours Rounded Up (15 mins) = 1 hour 15 minutes Note: Go to Human Resource > Attendance Transaction. Exclude OT CalculationThis setting is used to exclude specific periods of worked time from overtime (OT) calculations when No OT Request is Required for OT Calculation is enabled. Min & Max Acceptable OT Hour Per DayThis setting is used to define the minimum and maximum overtime (OT) hours that are considered valid for OT calculation per day. Minimum Acceptable OT Hour Per Day – Employees must work at least the minimum required OT duration before overtime is counted. Maximum Acceptable OT Hour Per Day – Limits the maximum OT hours that can be counted per day. Any overtime exceeding the limit will not be included in the OT calculation. Example: Min. Acceptable OT Hour Per Day: 0.5 hours Employees must work at least 30 minutes of overtime for OT to be counted. Any overtime less than 30 minutes will be ignored. Max. Acceptable OT Hour Per Day: 4 hours The maximum overtime that can be counted is 4 hours per day.
