Attendance Device Setup for Integration with AutoCount HRMSThis guide will assist in setting up the time attendance device for integration with the AutoCount HRMS system. 1. Turn on the Time Attendance (TA) Device and click on Menu 2. Select COMM from the menu options 3. Connect the device to the internet using either Ethernet or Wi-Fi If using Ethernet, ensure DHCP is turned ON. If using Wi-Fi, you can skip the DHCP setting 4. Once the device is connected to the internet, go to Cloud Server Setting. 5. Enter the following server address: iscan.autocountcloud.com. Ensure that HTTPS is turned ON. AutoCount HRMS Setup for Time Attendance IntegrationThis guide will assist in setting up the AutoCount HRMS system for Time Attendance Integration. i. Enable Time Attendance for Employees Ensure the following settings are enabled for employees who will use the time attendance integration feature: Go to Payroll > Employee Maintenance > Edit Verify that the following option are selected: 1. Employee must tick [Is Active]. 2. Employee must tick [Has Time Attendance]. Note: You can use [Batch Edit] to update [Has Time Attendance] by bulk. ii. Link Time Attendance Device to Company Go to Integration > TA Device Under Maintaining Time Attendance Device > Click Add New Enter the required details : Device Serial Number, Location and Remark Click Save once completed You can find the device’s serial number on the physical device or its packaging. When managing multiple i-Face devices, it is crucial to synchronize them sequentially in order to avoid potential data conflicts or synchronization errors. Flow Chart To effectively manage multiple i-Face devices and ensure accurate data synchronization, follow these steps sequentially: Start with the first device Perform a full synchronization on the first device, ensuring that all employee data is completely updated and synced. Proceed to the next device Only after confirming that the first device has finished syncing and all data has been accurately transferred, proceed to synchronize the second device. Repeat the process for additional devices Continue this process of syncing each device individually, ensuring that each device is fully updated before moving on to the next one. By following this step-by-step approach, you can prevent incomplete data transfers and avoid potential synchronization conflict between devices. What to do when a new employee joins the company When a new employee joins the company, it is essential to first register their profile in the Auto Count HRMS system. This ensures that their information is accurately transferred to the devices during the next synchronization. Flow Chart To effectively manage a new employee and ensure accurate data synchronization, follow these steps sequentially: Create the employee profile in HRMS Register the new employee’s profile in the AutoCount HRMS system The system will automatically push the employee’s profile to the i-Face device during the next synchronization. Handle the employee’s photo Option 1: Upload the photo to HRMS. It will sync to the device automatically during the next sync. Option 2: Capture the employee’s photo directly at the device after the profile has been created. Verify synchronization on the device Ensure that the employee’s profile has been successfully synced to the device. Check if the photo has also been synchronized, if not proceed to capture it at the device. If the profile is present but the photo is missing Capture the employee’s photo directly at the device to complete the profile. Confirm readiness Once both profile and photo are synced and present on the device, the employee is ready to begin using the device for clocking in and out. This structured process ensures smooth onboarding, minimizes the risk of delays in attendance tracking and guarantees accurate synchronization of employee data across all devices. Sync Attendance Device with AutoCount HRMSThis guide will assist in sync Time Attendance (TA) device with AutoCount HRMS system. After the device restarts and connects to the internet, it will automatically sync employee data if the device serial number has been entered in the company setup. Go to User Mgt > All Users to verify employee details. Select an Employee and click Edit > Face to capture the employee’s photo. Note: You may skip this step if the employee's face photo has already been uploaded in AutoCount HRMS. Once the above setup is complete, employees can begin clocking in/out using the TA device without any additional steps. The system will automatically record their attendance and sync it with AutoCount HRMS. Clocking using Time Attendance Device: Employees simply need to show their face to the device. No physical interaction (clicking/tapping) is required. Record in AutoCount HRMS: After employees have clocked in using the device, HR or supervisors can review the attendance records via: i.
