Turn on the Time Attendance (TA) Device and click on Menu 2. Select COMM from the menu options 3. Connect the device to the internet using either Ethernet or Wi-Fi If using Ethernet, ensure DHCP is turned ON. If using Wi-Fi, you can skip the DHCP setting 4. Once the device is connected to the internet, go to Cloud Server Setting. 5. Enter the following server address: iscan.autocountcloud.com. Ensure that HTTPS is turned ON. AutoCount HRMS Setup for Time Attendance IntegrationBefore using Time Attendance (TA) Integration, users must complete the required setup to ensure that AutoCount HRMS and the Time Attendance Device are properly synchronized. A) Enable Time Attendance for Employees Time Attendance must be enabled for employees who will use the attendance device. Steps to Enable Time Attendance: Go to Payroll > Employee Maintenance. Locate the employee and click the pencil icon. Under the Employee tab, enable Time Attendance. Click Save Changes. ℹ️ Note: Ensure the employee's Active status is enabled. Inactive employees cannot be synchronized with the attendance device. B) Link Time Attendance Device to Company After enabling Time Attendance for employees, link the attendance device to the company. Steps to Link a TA Device: Go to Integration > TA Device. Click Add New. Enter the required information: Device Serial Number – Enter the serial number of the attendance device. Location – Enter the device location (e.g., HQ, Branch Office). Remark – Enter additional notes if required. Click Save. ℹ️ Note: The Device Serial Number can usually be found on the physical device or its packaging. After linking the device, verify that the connection is successful from both the HRMS and the attendance device to ensure attendance records can be synchronized correctly. When managing multiple i-Face devices, it is crucial to synchronize them sequentially in order to avoid potential data conflicts or synchronization errors. Flow Chart To effectively manage multiple i-Face devices and ensure accurate data synchronization, follow these steps sequentially: Start with the first device Perform a full synchronization on the first device, ensuring that all employee data is completely updated and synced. Proceed to the next device Only after confirming that the first device has finished syncing and all data has been accurately transferred, proceed to synchronize the second device. Repeat the process for additional devices Continue this process of syncing each device individually, ensuring that each device is fully updated before moving on to the next one. By following this step-by-step approach, you can prevent incomplete data transfers and avoid potential synchronization conflict between devices. What to do when a new employee joins the company When a new employee joins the company, it is essential to first register their profile in the Auto Count HRMS system. This ensures that their information is accurately transferred to the devices during the next synchronization. Flow Chart To effectively manage a new employee and ensure accurate data synchronization, follow these steps sequentially: Create the employee profile in HRMS Register the new employee’s profile in the AutoCount HRMS system The system will automatically push the employee’s profile to the i-Face device during the next synchronization. Handle the employee’s photo Option 1: Upload the photo to HRMS. It will sync to the device automatically during the next sync. Option 2: Capture the employee’s photo directly at the device after the profile has been created. Verify synchronization on the device Ensure that the employee’s profile has been successfully synced to the device. Check if the photo has also been synchronized, if not proceed to capture it at the device. If the profile is present but the photo is missing Capture the employee’s photo directly at the device to complete the profile. Confirm readiness Once both profile and photo are synced and present on the device, the employee is ready to begin using the device for clocking in and out. This structured process ensures smooth onboarding, minimizes the risk of delays in attendance tracking and guarantees accurate synchronization of employee data across all devices. Sync Attendance Device with AutoCount HRMSUsers are encouraged to synchronise their attendance devices with AutoCount HRMS to ensure employee clock-in and clock-out records are updated automatically. This helps maintain accurate attendance records and supports smooth payroll processing. Ensure the attendance device has been linked to the company in Integration > TA Device. Refer to AutoCount HRMS Setup for Time Attendance Integration for detailed setup instructions. Steps to Sync Attendance Device with AutoCount HRMS: Restart the attendance device and ensure it is connected to the internet. Once connected, the device will automatically synchronise employee data if the Device Serial Number has been configured in the company setup. On the attendance device, go to User Mgt. Click All Users. Verify that the employee information has been synchronised successfully. Select an employee. Click Edit. Click Face to capture or register the employee's facial recognition profile, if applicable. Save the changes on the attendance device.
