Guide to update Foreign Worker SOCSO CategoryExtension of Invalidity Scheme Coverage to Foreign Workers SOCSO has announced the extension of invalidity scheme coverage to foreign workers, effective from July 1, 2024. Previously, foreign workers were covered under the Employment Injury Scheme (Category 2). With the extension, the contribution rate for foreign workers will be the same as the local employees' rate: Employment Injury Scheme and Invalidity (Category 1) for those under 60 years old, and Employment Injury Scheme (Category 2) for those over 60 years old. What do I need to change if my foreign workers are affected? 1. Always ensure the checkbox for “Is Foreigner” is selected under the employee profile. On the same page, proceed to Statutory Requirements and locate SOCSO settings. Do remember to click on Save after making the changes What if I have multiple employees that needs to be edited at once? 1. Use batch edit to ensure and update the employee status as a foreign employee by selecting “Is Foreigner”. Do remember to click on Update then Save after making the changes. Payroll> Employee Maintenance > Batch Edit > Select: Is Foreigner Payroll> Employee Maintenance > Batch Edit > Select: SOCSO Category Which category should I select for my foreign workers? Scenario 1: Foreign Workers who have previously contributed to the PERKESO scheme and under the age of 60. Required to select Category 1. Scenario 2: Foreign Workers who have reached the age of 55 and never contributed to the PERKESO scheme before or have already reached the age of 60. Required to select Category 2. What other changes are required? There are no other changes in the system, users may proceed with the payroll process as usual. Increment GuideUser Guide for AC HRMS – Increment Increment Auto Count HRMS now has streamlined wages management for HR/Admins with an increment feature. Users can input the effective period, increment amount, and remarks. The new “current rate” column shows the updated wages rate. There are 2 ways to maintain Increment for the employees. Individually or by Batch Edit Method 1: Individual Increment Payroll >Employee Maintenance >Edit > Employment Detail > Wages Info 1.Basic Rate 2.Current rate: Basic Rate + Increment Amount = Current Rate. This column will display the updated wages rate, you may not edit this column. 3.Add New: Add new record for the increment. Please ensure to save after entering increment amount. 4.Effective Period: Select the effective payroll period for the increment. Not allowed to select Months that has processed / done payroll closing. 5.Increment Amount: Amount for increment, negative value is allowed. 6.Remark column 7.Archived Record: Previously known as Employment History. The data in employment history will be moved to archived record for viewing purposes. Method 2: Batch Edit Payroll> Employee Maintenance > Batch Edit > Select: Increment 1.Select Field: Select item “Increment” for batch edit. 2.Batch Action: Use this to update multiple employees with similar figures. 3.Select Employee: Single or multi-select 4.Employee: Default view shows employees code and name. Can be changed via column chooser. (Right click> Column Chooser) 5.Basic Rate 6.Current Rate: The current wages rate (Basic Rate + Previous Increment) 7.Increment Amount: Amount for increment, negative value allowed. 8.Effective Period: Select the effective payroll period for the increment. Not allowed to select Months that has processed / done payroll closing. 9.Remark column 10.New rate: Amount after increment. Current Rate + Increment amount = New Rate. 11.Save: Save the changes for the increment updates. 1.Batch Action: Batch update for multiple employees by amount or percentage. 2.Effective Period: Select the effective payroll period for the increment. 3.Amount: For increment defined with an amount. eg. RM100.00 4.Percentage: For increment defined with a percentage. eg 15.50% 5.Increment Amount: Increment amount, up to 2 decimal places. 6.Remark column 7.Apply: Apply changes to the selected employees. 8.Save: Save the changes for the increment updates. There are 2 ways to batch edit. Scenario 1: You have 20 Employees who are all entitled to a RM 200 or 12.5% increment. This can be done by using the Batch Action button, therefore requiring you to key in increment information only once. 1.Check the affected employees name then Click Batch Action 2.Select the effective period for this increment 3.Select Amount if it’s a fixed RM 200 increment 4.Select Percentage if it’s a 12.5 % increment 5.Enter the amount e.g. RM200 or 12.5 % 6.Remark for reference purposes 7.To Apply the changes 8.Click Save to save the increment updates Scenario 2: You have 20 Employees but each of them is entitled to a different amount of increment based on their performance. 1.Use the filter option to find the affected employees 2.Key in the increment amount for the affected employees 3.Select the effective period for the increment 4.Enter a remark for reference purposes 5.System will calculate and display the updated rates in the “New Rate” field After updating the increment details, the system will take the current rate for processing the payroll. With this new feature, there will be a new report – Increment Report. This feature is designed to accommodate work schedules that span across midnight, ensuring accurate tracking of working hours, breaks, and overtime. Follow this documentation to configure and optimize the feature for your needs. A. Setting 1.Shift Maintenance (Human Resource > Attendance Management > Shift Maintenance) i.Configure working hours such as the Clock In time, Break Times and Clock Out time. ii.Clock Out: [Same day] or [Next day] Option is available. Select Next day for Overnight shifts, Same day for Standard shifts. iii.Shift End Buffer: When [Next day] is selected, a Shift End Buffer column appears. It defines maximum time or cutoff for shifts. iv.Any attendance transactions after the shift end buffer will be considered as the next shift transaction. v.The total shift working hours, including the buffer time, must not exceed 24 hours. Example: Shift starts at 9.00 PM and ends at next day 6.00 AM with a shift end buffer of 240 minutes. With the shift end buffer of 240 minutes, any attendance transaction that happens in between 6am to 10am will be considered as overtime (if applicable). 2.Rule Maintenance (Human Resource > Attendance Management > Rule Maintenance) i. Setup default rule and daily default shift settings. ii. Setup early out, lateness and overtime configure setting. iii. Provides clock in/out restriction setting for employees. iv. Can restrict employees to clock in/out based on pre-defined Location, Wi-Fi, and/or Bluetooth device. v. Request employees to take a photo during clock in/out with the option to use face recognition. 3.Shift Schedule Setting (Human Resource > Attendance Management > Shift Schedule) i. Setup ii. Setup wizard available for easy setup of shift schedule for employees. iii. Ability to copy schedules of existing employees. B.Calculation 1.Shift End Buffer Example: Shift End time: 4.00am | Buffer 180 Minutes If employee clocks out before 7.00am, 3 hours will be considered as extra hours for the same days shift. The system will also AUTOMATICALLY force clock out at 7.00am. Any attendance transactions after 7.00am will be treated as Over Time for next day shift if applicable. Kindly refer to the below scenario with timeline for your reference. Shift – Monday 8.00pm to Next Day Tuesday 4.00am Shift End Buffer - 180 min Actual clock in/out - In at 8 pm, out at 6am Expected result – Worked hours 8 hours and OT 2 hours for Monday shift. 2.Attendance Transaction i.To check attendance scenarios, employee attendance status, details, lateness, early out and overtime. ii. For overnight shift’s day end calculation, kindly wait 24 hours after shift ended, to let system finalize all the attendance data and overtime (if applicable). 3.Attendance Map i.Shows employee clock-in location Now the date is sort by ascending order. Green colour-Clock In, Red colour- Clock Out. 4.My Team Attendance i.Employee attendance status When preview overnight shift clock, it will show the date clock in, and date clock out which represent overnight shift clock. Eg filter by date 2 December 2024. Data will show clock in on 2 Dec 2024 and clock out on 3 Dec 2024. C.Attendance Report Attendance Report - No changes on this report. All remain same. Attendance Detail Report - Added * - to indicate Over Night attendance Note: * Indicates Overnight Attendance Transaction Attendance Request Listing Report – Added Shift Date and Next Day Information Overtime Report - No changes on this report. All remain same. D.AC Payroll Application and Employee Self Service (ESS) i. Employee using AC Payroll to clock- No changes. AC Payroll > Attendance > Clock In/Out *Remember update you application to latest version 3.0.5. ii. Apply Overtime through ESS or Mobile App - New Layout Web: Human Resource > My Attendance > Attendance Request > Add New Mobile App: Attendance > Request > Add i. The ‘selected date shift’ provides info on the shift including the shift cut-off time information. ii. Users are required to select date, start, end time and provide reason. iii. Apply Shift Adjustment through ESS or Mobile App - New Layout Web: Human Resource > My Attendance > Attendance Request > Add New Mobile App: Attendance > Request > Add i. The ‘selected date shift’ provides info on the shift including the shift cut-off time information. ii. Users require select date, start, end time and provide reason. iii. The start time cannot overlap with previous shift end buffer. iv. If the adjustment involves the next working day, kindly tick next day. Eg: Current Shift 2100-0600 Able to apply for Over Night 2000-0500 or Same Day 1400-2100. iv.Apply Leave through ESS or Mobile - New Layout Web: Human Resource > My Leave > Apply Leave > Add New Mobile App: Leave > Add i. Employees must select leave date based on the shift start date. ii. Half Day Leave- AM Leave has been renamed to First Half and PM Leave renamed to Second Half. Scenario Shift Starts on Tuesday 10/12/2024 at 8.00pm Break 1 hour, 12am to 1am Shift Ends on Wednesday 11/12/2024 at 5.00am. Appendix Appendix 1 – Scenario Calculation Examples Scenario 1 Shift – Thursday 5 pm to next day Friday 1 am Shift End Buffer - 240 min Actual clock in/out – In at 5 pm, Out at next day 1 am, In at 1.30 am, Out at 4 am Expected result – Worked hours 8 hours and OT 2.5 hours for Thursday shift. Scenario 2 Shift – Monday 10 am to Tuesday 1 am with 4 hours break. Shift End Buffer – 240 min Actual clock in/out – In at 10 am, Out at 1 pm, In again 5 pm, Out at 3 am Expected result – Worked hours 11 hours and OT 2 hours for Monday shift. Scenario 3 Shift – Wednesday 8 pm to Thursday 4 am Shift End Buffer - 60 min Actual clock in/out - In at Wednesday 8 pm, In at Thursday 6am Expected result – Incomplete for today shift. Worked Early OT for next day shift if applicable. Appendix 2- Things to take note on Cross Night Shift 1.Shift Duration – The total working hours with overtime, including the shift end buffer, must not exceed 24 hours. 2.Shift Scheduling – Each employee is allowed only one shift per day. 3.Shift End Buffer – Recommend putting minimum 30 minutes. 4.Overtime Request – Overtime must be scheduled within the designated day end buffer time, ensuring both the start and end times fall within this window. 5.Shift Adjustment – Shift adjustment is permitted for both overnight shifts and same-day shifts. 6.Leave Applications – Half-day leave now named as "First Half" and "Second Half." 7.Leave Settings – For cross night shifts, it is recommended to use full day or hourly leave settings to achieve more accurate results. 8.Leave Modifications – Switching between half-day leave and hourly leave is not recommended, as it may cause discrepancies in attendance and leave records. 9.Clock-In Restrictions – For shifts beginning at 12 AM, clocking in prior to 12 AM is not permitted. 10.Overtime Limitations – If a shift ends at 11 PM, any overtime worked cannot extend beyond 12 AM on the same day.Created by Auto Count Support, Modified on Fri, 14 Mar at 10:36 AM by Auto Count Support

3.0 Auto Include SOCSO & EIS Amount for Tax ReliefUser Guide for Auto Include SOCSO & EIS Amount for Tax Relief Automatically include Employee’s SOCSO and EIS contribution to allow claim of tax relief under Optional Deduction- Contributions to PERKESO (limited to RM 350.00 per year). Users now no longer need to update tax relief amount after system calculates the SOCSO and EIS amount, this amount will be auto included under optional deduction – SOCSO Payment. This feature must be enabled via: Employee Maintenance > Statutory Requirement > SOCSO > Claim Employee’s SOCSO & EIS Tax Relief OR Use Batch Edit to bulk update Employee Maintenance > Batch Edit > Select Field > Claim Employee’s SOCSO & EIS Tax Relief Excel Import > Employee Also added this field > > Claim Employee’s SOCSO & EIS Tax Relief to allowed user input through excel file. After run payroll process, the relief amount will be displayed under optional deduction in PCB Details section. 4.0 Additional Custom Field in Allowance for EA formUser Guide for Additional Custom Fields in Allowance & Deduction for EA Form Additional custom selection fields are now added in Allowance and Deduction for user to choose to be listed in EA Form. This will require the “Pay Tax” option to be selected in allowance and deduction. Example shown to be listed in EA form is Part B6- Compensation for loss of employment. Go to Allowance > Add New 1. Enter allowance code and description of your choice. 2. Ensure that “Pay Tax” is checked 3. Select which EA Field this allowance will be displayed to >B6- Compensation for loss of employment. Complete Payroll Process with the allowance created. Run payroll closing and check the EA, the Compensation for Loss of Employment allowance of RM 4,000.00 will appear on the EA form on line B6. Update Billing Party Info for e-InvoiceUser Guide for Updating Billing Party Information for e-Invoice (Only for Malaysia Users) Updating Billing Party information for e-Invoice To accommodate the upcoming e-Invoicing requirement, Subscribers are required to update billing party information. There are certain mandatory fields like TIN number, business registration number, classification etc. that are required for e-invoicing purposes. How to update billing party information to accommodate the e-Invoice? For Existing Subscriptions 1.After logging in to the system. On the Top right Corner > Click theIcon >Subscription Portal 2.Select Billing Party > Under the respective Billing Name > Edit 3.Kindly fill up all the respective fields. You can validate the TIN number by clicking on “Validate TIN”. This is to ensure that the TIN is recognized by the MYInvois Portal. 4.Assign billing party for the Subscription Note: You may skip this step if you have already assigned previously. At the top left > Auto Count HRMS >Go to Subscription > Manage Select the Billing Party and click Save You can preview the details of the billing party when hovering on the icon. Note: The icon will only appear after updating the required e-invoicing information. You can also add new billing party on the same page. Click on Add Billing Party and fill up all the compulsory fields, then click on Save. 5.Once the billing party information is updated, all future invoices will be uploaded to the MYInvois portal to be validated. 6.MyInvois will validate and send the e-invoice to the contact email that has been assigned in the billing party information. Also, user can download validated e-Invoice from subscription portal. For New Subscriptions When creating a new subscription, all users are required to create and assign a billing party. 1.Click on Add Billing Party to key in the details. 2.When clicking on save a TIN validation will be prompted. We highly recommend Clicking on Yes to proceed with the validation, this is to ensure that the TIN is recognized by the MYInvois Portal. 3.Once validated, users can proceed to the payment page. Invoice will be uploaded to the MYInvois portal to be validated. MyInvois will validate and send the e-invoice to the contact email that has been assigned in the billing party information. Explanation on Leave Type (New User Interface)Tools > General Maintenance > Leave Type 1. Entitlement Mode – Determine the limitations during leave application process, there will be 3 options for users to select: i) Limited with Advance – Users can apply for leave beyond their leave entitlement / balance and balance CAN reflect in negative amount. ii) Limited without Advance – Users are only able to apply for leave based on their leave balance and balance CANNOT be less than 0. iii) Unlimited – No limits apply. Employees are not limited to the number of leaves that they can apply. 2. Leave Entitlement Calculation Method 3. Would you like to disable proration for this leave type? Upon employee’s resignation, by default, system will prorate ALL leave type. Thus, to avoid prorating for certain leave types such as Medical Leave, Hospitalisation Leave, Paternity & Maternity Leave, you may click on Yes for ‘Would you like to disable proration for this leave type. 4. How many days in advance should an employee apply for this leave? Empty - Employee can apply this leave type anytime. 0 – Employee(s) will not be allowed to apply backdate leave for this leave type. 1 - Employee(s) will not be allowed to apply backdate, today date for this leave type. 2 - Employee(s) will not be allowed to apply backdate, today date & tomorrow for this leave type. 3,4,5…x - System will restrict leave application and employees would NOT be able to apply for backdate leaves and would have to apply x days in advance. *x = number 5. Does this leave type require third party replacement?
