CalendarThe Calendar feature enabled employers to define working days, rest days, and public holidays, and assign them to employees. A work calendar provides clear visibility of work schedules, lists holidays, and serves as a reference for leave and overtime management. Steps to Create a New Working Calendar: Go to Tools > Calendar. Click Add New. Enter the Code and Description. Tick the box of Is Main Calendar to set it as the default calendar. Configure the calendar year by clicking the + icon. Click the x icon next to the year to remove. Tick the public holidays applicable for the work calendar and click Apply. Assign Rest Days: Basic – Month – Select Every Month, Odd Month or Even Month. Week Day – Select the day of the week from the drop down list. Day Type – Select to apply the rest days as Full Day, First Half or Second Half. Advance – + – Click to add a new group. x – Click to delete the group. Month (Blue) – Click to change detail to Month, Week, Week Day, Half Day/Full Day, Selected Weeks, Selected Months or Day. Equal (Green) – Click to select Equal or Does not equal. Enter a Value (Grey) – Click to select a value from the drop-down list. A Result Conflicts panel will appear if a rest day overlaps with a public holiday. Select either the holiday or rest day by ticking or unticking the respective option to determine which applies to that date. Click Save. Scroll down to view the calendar. Click the i icon next to a month to view or edit the Month’s holiday information. Click on a date to view, delete or edit the holiday details of the specific day. Click Save. Click the download icon to download the calendar excel file. Click the pencil icon to edit. Additional Public HolidayThis feature allows users to add extra public holidays to an existing calendar. Additional holidays will be reflected in attendance and payroll calculations based on the assigned calendar. Steps to Add an Additional Public Holiday: Go to Tools > Calendar. Locate the calendar and click the pencil icon. Click on the date at the calendar list. A Specific Day page will appear. Enter the details: Date – Ensure the selected holiday date is correct. Description – Enter the holiday name or remark. Type – Select Holiday. Click Save. The additional public holiday will be created, and the date will be highlighted in red. Employee Code FormatThis feature allows users to define the format used for generating employee codes. The configured format helps maintain a consistent employee numbering structure when creating new employee records. Steps to Maintain Employee Code Format: Go to Tools > Company Profile. Under Company Profile, go to Formats. Click Add Format. Enter the details: Format Type – Select Employee Code. Formats – Enter the format. Counter – Enter the next number used. Click Save. HRDF ContributionThe Human Resources Development Fund (HRDF) is a mandatory levy-based training fund in Malaysia under the Ministry of Human Resources. It is contributed by employers to support employee training and upskilling, improving workforce skills, productivity, and overall industry development. To ensure accurate payroll calculation, HRDF settings must be enabled at both company and employee levels, and the applicable payroll items must be included in contribution settings. Steps to Maintain HRDF Contribution Percentage: Go to Tools > Company Profile. Go to Basic Information. Enter the HRDF Rate (%) without the % symbol. Click Save changes to apply. Steps to Maintain Employee’s HRDF Contribution: Go to Payroll > Employee Maintenance. Locate the employee and click the pencil icon next to the employee. Go to Statutory Requirement, scroll down and enable Pay HRDF. Click Save changes. Go to Tools > Company Profile. Go to Contribution Settings. ProjectThis section allows users to create and manage projects for record-keeping, reporting, and transaction filtering purposes. Projects can be assigned to an employee at Payroll > Employee Maintenance. Steps to Create a New Project: Go to Tools > Organisation. Under the Project tab, click Add New. Enter the details: Code – Enter a code for the project. (Mandatory) Description – Enter the name of the project. Is Active – Ensure this option is enabled to make the record available for selection. Click Save. The project will be listed at the table. ℹ️ Tip: Use the pencil icon to edit the project. Use the trash bin icon to delete the project. Contribution SettingsThis feature is used to configure payroll contributions such as EPF, SOCSO & EIS, Income Tax (PCB), and HRDF for all employees. It determines which payroll items are subject to statutory deductions and ensures accurate payroll and compliance reporting. Steps to Setup Employees’ Contribution Settings: Go to Tools > Company Profile. Go to Contribution Settings. Enable the relevant contributions (EPF, SOCSO & EIS, Tax, HRDF) for applicable payroll items, including Basic Salary Bonus Commission Director Fees First Half Salary Paid Leave Unpaid Leave Under Item Setting, toggle the fields Director Fees, ASN, Tabung Haji and Zakat between: Visible – Field will appear in Employee Maintenance. Assign ProjectThis feature allows users to assign a project to an employee for reporting, filtering, and record-keeping purposes. It helps organise employee data by project for easier tracking and analysis. Please note that it is not used for claim entitlement purposes. Steps to Assign a Project to an Employee: Ensure the project is created at Tools > Organisation > Project. Refer to Project to configure project settings. Go to Payroll > Employee Maintenance. Locate the employee and click the pencil icon next to the employee. Under Employment Details, select the appropriate Project. Company LogoThis feature allows users to upload and maintain the company logo, which is used for easier identification and differentiation between companies within the system. The logo may also appear on reports, documents, and system interfaces where applicable. Steps to Maintain Company Logo: Go to Tools > Company Profile. Go to Company. Hover over to the image area and click the camera icon. Select the file and click Open. Overtime Request SettingsThis feature allows users to determine when employees are allowed or required to submit overtime requests for attendance approval purposes. Steps to Maintain Overtime Request Settings: Go to Tools > Company Profile. Go to Payroll Rules. At the OT Request Setting field, select the relevant option: Before Start – Employees must submit overtime requests before the overtime begins. After Start – Employees can only submit overtime requests after the overtime has started or ended.
