Can I Change the Subscription Payment Frequency When My Current Existing Plan is Still Ongoing?No. Users are not allowed to change the subscription payment frequency while the current subscription plan is still active and ongoing. Payment Frequency can only be changed when subscription is near its expiry date: For Yearly (12-month) subscriptions: Can be changed 1 month before expiry. For Other subscription plans (1, 3, 6, 9 months, etc.): Can be changed 1 week (7 days) before expiry. However, you still can update (increase / decrease) the number of headcounts in your subscription plan. Can I Purchase the New Plan Within the Free Trial Period?Yes. Users are allowed to purchase a new plan during the free trial period. Once the purchase is completed, the subscription will be activated immediately. Steps to Purchase a New Plan During Free Trial: Go to Subscriptions. Locate the company within the subscription, then click Purchase. A Plan Purchase window will appear. Choose one of the following options: Purchase Current Plan & Proceed to Payment – Proceed with the existing plan configuration. How to Make Payment for Subscriptions?Users can make payments for subscription purchases, renewals, and plan adjustments through the Subscription Portal. Can I Change the Payroll, e-Leave & e-Claim, e-Attendance Headcounts?Yes, you may amend the number of headcounts in all of the modules anytime. Increase in headcounts (Upgrade): Payment is required before the changes take effect. The additional cost will be prorated accordingly. Decrease in headcounts (Downgrade): No payment is required. Not recommended as no refunds will be provided for previous payments. Can I Split the Invoices from the Same Subscription?To split invoices, one of the companies must be transferred to a separate subscription. Scenario: Adam subscribes to one HRMS Cloud Subscription (Subscription 2026), which includes Company A and Company B. After renewal, he receives one combined invoice and wants to split it into two separate invoices based on each company. Steps to Achieve Invoice Splitting: Create a new subscription (if no extra subscription exists). Refer to Create a New Subscription. Transfer Company B to the new subscription. Refer to Transfer Company. After Completion, each subscription will contain only one company. Future renewals will generate separate invoices per subscription ℹ️ Note: The invoice split will only take effect in the next renewal cycle. Current invoices will remain unchanged. Why Did the Subscription Period Change after Free Plan Renewal?Scenario: A subscription is created under a Free Plan with a validity period 01/05/2026 – 31/05/2026. When it is later renewed or upgraded with purchased headcounts, the subscription period changes to the current date. Answer: The original subscription was created under a Free Plan, which has its own predefined validity period (e.g., 01/05/2026 – 31/05/2026). During this stage, the account is treated as using a trial/free entitlement. When the subscription is later renewed by purchasing headcounts or upgrading to a paid plan, the system treats this as a new active paid subscription. As part of this process, the subscription period is automatically regenerated based on the date of the upgrade or purchase. Why the Changes Happened? The changes happens due to: The previous free-plan duration will no longer be retained. The new subscription period will start from the current purchase/activation date. The system replaces the free plan timeline with a paid subscription timeline to ensure correct: Billing Entitlement tracking License allocation System Behavior Explanation This is expected because: Free plans are treated as temporary / trial-based periods. Paid subscriptions require a new billing cycle. The system standardizes the subscription start date based on the actual payment date.
