PERKESO Skim LINDUNG 24 Jam (SKBBK)In accordance with the latest PERKESO circular, the Skim LINDUNG 24 Jam (SKBBK) enhancement will take effect beginning 1 June 2026. The scheme expands employee protection coverage to 24 hours, including accidents occurring outside working hours and during road travel. System Impact No system changes are required for payroll processing. The payroll system will automatically calculate the new SKBBK contribution starting from June 2026 payroll processing based on the latest PERKESO contribution table. No manual configuration or setup is required. Contribution Updates A new SKBBK contribution rate of 0.75% will be applied and will be fully borne by employees. Contribution calculations will follow the latest PERKESO contribution schedule according to employee salary range and category. Applicable to all employees covered under Act 4 for both Category 1 and Category 2. Employer Responsibility Ensure payroll is processed from June 2026 onwards Deduct employee contributions accordingly Remit contributions to PERKESO within the stipulated timeline Effective Date Implementation is effective from 1 June 2026 Payroll Example Salary: RM 4,150.00 Employee SOCSO Amount = RM 51.90 (inclusive of SKBBK amount) Contribution Table Employee SOCSO Amount = RM 20.75 + RM 31.15 = RM 51.90 Text File Submission The existing single text file format will remain supported until 30 September 2026. However, effective from 1 October 2026 onwards, all contribution record submissions must use the SOCSO + EIS text file format. Users are encouraged to start using the SOCSO + EIS combined text file format starting from June 2026 to ensure a smoother transition before the mandatory implementation on 1 October 2026. Guide to update Foreign Worker SOCSO CategoryEffective from 1 July 2024, Social Security Organisation (SOCSO / PERKESO) has extended Invalidity Scheme coverage to foreign workers. Previously, foreign workers were only covered under the Employment Injury Scheme (Category 2). With this update, foreign workers will now follow the same SOCSO contribution category structure as local employees: Category 1 – Employment Injury Scheme and Invalidity Scheme (for employees below 60 years old) Category 2 – Employment Injury Scheme only (for employees aged 60 and above) What Should Be Updated for Affected Foreign Workers? Ensure the Foreigner option is enabled in the employee profile. Steps to Update Foreign Worker Status: Go to Payroll > Employee Maintenance. Locate the employee and click the pencil icon. Go to Employee. Ensure the Foreigner checkbox is enabled. Proceed to Statutory Requirements and locate SOCSO settings. Click Save changes. What to do if I have multiple employees that need to be edited at once? Use Batch Edit to ensure and update the employee status as a foreigner by checking the option Is Foreigner. Please take note to click Update and Save after making the changes. How to Update Multiple Employees at Once? Users may use the Batch Edit feature to update multiple employees efficiently. Steps to Batch Edit Foreign Worker Status: Go to Payroll > Employee Maintenance. Click Batch Edit. Click the column chooser icon and select SOCSO Category. Tick the employees to be updated. Select the relevant statutory or employee detail field. Right click and select Apply this value to selected rows. Click Save. Which SOCSO Category Should Be Selected? Category 1 – Foreign workers below 60 years old Foreign workers who have previously contributed to the PERKESO scheme Category 2 – Foreign workers who have reached age 55 and never contributed to PERKESO before Foreign workers aged 60 years old and above Other Required Changes No additional system setup is required. Users may continue processing payroll, reports, and electronic payments as usual. Increment GuideAutoCount HRMS provides a streamlined increment feature for managing employee salary adjustments. Users can define the effective period, increment amount, and remarks, while the system automatically updates the Current Rate column. There are two ways to maintain salary increment: Individually Batch Edit Method 1: Individually Update Steps to Maintain Increment Individually: Go to Payroll > Employee Maintenance. Locate the employee and click the pencil icon. Go to Employment Details. Under Wages Information, available fields include: Basic Rate Current Rate – Automatically calculated as Basic Rate + Increment Amount. This field is system-generated and cannot be edited. Add Increment – Click + Add Increment and save after entering details. Effective Period – Select the payroll period for the increment. Past payroll-processed periods cannot be selected. Increment – Value of increment. Use negative values for salary reduction. Remark Archived Record – Stored under Employment History. Method 2: Batch Edit Steps to Maintain Salary Increment via Batch Edit: Go to Payroll > Employee Maintenance. Click Batch Edit. Select Wage Increment. Scenario 1: 20 employees entitled to a RM 200 increment Tick the affected employees. Select the effective period. Enter the amount. Enter the remark as a reference. Right click at the column and select Apply this value to selected rows. Click Save. Scenario 2: 20 employees with different amount based on performance Enter the increment amount for the affected employees. Select the effective period. Enter the remark as a reference. Manual submission of CP22 forms is no longer allowed. Overnight Shift DocumentationThis documentation provides guidance on configuring and using the Overnight Shift feature in AutoCount HRMS. The Overnight Shift feature is designed for employees whose working hours span across midnight, ensuring accurate calculation of working hours, overtime, attendance transactions, and leave applications. A. Setting Shift Maintenance Navigate to: Human Resource > Shift & Rule > Shift Maintenance. Configure the employee’s working schedule, including: Clock In time Break Time(s) Clock Out time Configure Shift Type: Same Day – For standard shifts that end on the same day Next Day – For overnight shifts that continue past midnight. Select this option for night shifts. Shift End Buffer Appear when Next Day is selected for Shift Type. This defines the maximum cutoff period after the shift end time. Attendance transactions recorded within the buffer period will still be treated as part of the same shift and may be calculated as overtime if applicable. Any attendance transaction after the buffer period will be considered part of the next shift transaction. Total working hours including buffer time must not exceed 24 hours. Example: Scenario: Shift Start: 9:00 PM Shift End: 6:00 AM (Next Day) Shift End Buffer: 240 minutes Result: Attendance transactions between 6:00 AM and 10:00 AM will be treated as overtime for the same shift if applicable. Transactions after 10:00 AM will be considered the next shift transaction. Rule Maintenance Navigate to: Human Resource > Shift & Rule > Rule Maintenance. Used to configure: Default rule and default shift settings Early Out and Lateness settings Overtime settings Clock in/out restrictions Clock in/out based on pre-defined Location, Wi-Fi and/or Bluetooth devices Face Recognition – Request to take photo during clock in/out. Note: Clock out before 7.00 am: 3 hours will be considered as extra hours for the same day's shift. Clock out after 7.00 am: The system will force clock out at 7.00am. The extra working hours will be treated as Overtime for next day shift if applicable. Attendance Transaction Navigate to: Human Resources > Attendance Transaction. Users may review: Attendance scenario Attendance status Clock in/out records Lateness Early out Overtime For overnight shifts, the system requires up to 24 hours after shift end to finalise attendance and overtime calculations. Attendance Map Navigate to: Human Resources > Attendance Map Displays employee clock-in locations. Features: Sorted by ascending date Green colour – Clock In Red colour – Clock Out My Team Attendance Managers may preview employee attendance status including overnight shifts. For overnight shift clock, the date clock in and date clock out will be shown. Example: Filtering by date 2 December 2024. The system will display Clock In on 2 December 2024 and Clock Out on 3 December 2024. C. Attendance Report Attendance Report – No changes available. Attendance Detail Report – A symbol (*) is added to indicate overnight attendance transactions. Attendance Request Listing Report – Additional fields: Shift Date Next Day Information Overtime Report – No changes available. D. AC Payroll Application and Employee Self Service (ESS) Employee using AC Payroll to clock – No changes available. AC Payroll > Attendance > Clock In/Out Apply Overtime through ESS or Mobile App – New Layout available. Web: Human Resource > My Attendance > Attendance Request > Add New Mobile App: Attendance > Request > Add Features: The selected date shift provides info on the shift including the shift cut-off time information. Users are required to select date, start, end time and provide reason. Apply Shift Adjustment through ESS or Mobile App - New Layout available The selected date shift provides info on the shift including the shift cut-off time information. Select the date, start, end time and enter a reason. The start time cannot overlap with the previous shift end buffer. If the adjustment involves the next working day, select Next Day. Example: Current Shift is 21:00 - 06:00. Employees are able to apply for Over Night 20:00 - 05:00 or Same Day 14:00 - 21:00. Apply Leave through ESS or Mobile - New Layout Leave date must be selected based on the shift start date. Half Day Leave – AM Leave has been renamed to First Half and PM Leave renamed to Second Half. Example: Shift Starts on Tuesday 10/12/2024 at 8.00pm, with 1 hour break from 12 am to 1 pm. Shift Ends on Wednesday 11/12/2024 at 5.00am. Appendix Appendix 1 – Scenario Calculation Examples Scenario 1 Shift: Thursday 5 pm to next day Friday 1 am Shift End Buffer: 240 min 1st Actual clock in: 5 pm 1st Actual clock out: Next day 1 am 2nd Actual clock in: 1:30 am 2nd Actual clock out: 4 am Expected result: Worked hours 8 hours and OT 2.5 hours for Thursday shift. Scenario 2 Shift: Monday 10 am to Tuesday 1 am with 4 hours break. Shift End Buffer: 240 min 1st Actual clock in – 10 am 1st Actual clock out: 1 pm 2nd Actual clock in: 5 pm 2nd Actual clock out: 3 am Result: Worked 11 hours and OT 2 hours for Monday shift. Scenario 3 Shift: Wednesday 8 pm to Thursday 4 am Shift End Buffer: 60 min Actual clock in: Wednesday 8 pm and Thursday 6am Result: Incomplete for today’s shift. Worked Early OT for next day shift if applicable. Appendix 2- Things to take note on Cross Night Shift Shift Duration: The total working hours with overtime, including the shift end buffer, must not exceed 24 hours. Shift Scheduling: Each employee is allowed only one shift per day. Shift End Buffer: Recommend putting minimum 30 minutes. Overtime Request: Overtime must be scheduled within the designated day end buffer time, ensuring both the start and end times fall within this window. Shift Adjustment: Shift adjustment is permitted for both overnight shifts and same-day shifts. Leave Applications: Half-day leave now named as First Half and Second Half. Leave Settings: For cross night shifts, it is recommended to use full day or hourly leave settings to achieve more accurate results. Leave Modifications: Switching between half-day leave and hourly leave is not recommended, as it may cause discrepancies in attendance and leave records. Clock-In Restrictions: For shifts beginning at 12 AM, clocking in prior to 12 AM is not permitted. Auto Include SOCSO & EIS Amount for Tax ReliefThis feature automatically includes an employee's SOCSO and EIS contributions for tax relief purposes under Optional Deduction – Contributions to PERKESO (Tax relief is limited to RM350.00 per year.) Previously, users were required to manually update the tax relief amount after payroll calculation. With this enhancement, the system will automatically include the employee's SOCSO and EIS contributions in the PCB tax relief calculation. A) Enable Claim Employee's SOCSO & EIS Tax Relief Steps to Enable this Feature: Method 1: Employee Maintenance Go to Payroll > Employee Maintenance. Locate the employee and click the pencil icon. Navigate to Statutory Requirement. Under SOCSO, enable SOCSO & EIS Tax Relief Click Save Changes. Method 2: Batch Edit Go to Payroll > Employee Maintenance. Click Batch Edit. Click column choose and select Claim Employee's SOCSO & EIS Tax Relief Enable the option at the table manually, or right click and select Apply this value to selected rows. Click Save. Method 3: Excel Import Users may also update this setting via Excel Import. Go to Excel Import, click Employee to download the template. Download the employee import template. Update the Claim Employee's SOCSO & EIS Tax Relief field. Import the updated file into the system. B) Run Payroll Run the payroll process as usual. 4.0 Additional Custom Field in Allowance for EA formAdditional custom selection fields have been added to Allowance and Deduction payroll items, allowing users to specify how these items should be reported in the EA Form. The Pay Tax option must be enabled for the allowance or deduction item before it can be mapped to an EA Form field. One example is Part B(6) – Compensation for Loss of Employment. Steps to Add a Custom EA Form Field: Go to Tools > Payroll Items. Go to Allowance. Click + Add New. Enter the Code and Description. Ensure Pay Tax is enabled. Select B(6). Compensation for loss of employment at the EA Form field. Click Save. Process payroll using the newly created allowance item. Perform Payroll Closing and preview the EA Form. Explanation on Leave Type (New User Interface)Users may maintain Leave Type settings at Tools > Classifications > Leave Type to define leave application rules and restrictions for employees. A) Leave Limits This setting determines the limitations applied during the leave application process. Limited with Advance Leave Employees can apply for leave even when their leave balance is insufficient. The leave balance is allowed to become negative. Limited without Advance Leave Employees can only apply for leave based on their available leave balance. The leave balance cannot be less than zero. Unlimited No leave balance restrictions apply. Employees can apply for leave without limitation. B) Leave Entitlement Calculation Method How would you like this leave to be calculated? – Defines the method used to calculate leave entitlement. When should the service year for this leave calculation start? – Determines the date used to calculate the employee's service year for leave entitlement purposes. Allow Advanced Entitlement (For Monthly Earn Only)? – Allows employees to utilize leave entitlement in advance before it is fully earned through the monthly earning method. Would you like to disable proration for this leave type? By default, the system prorates leave entitlement upon an employee's resignation. Select Yes if you do not want this leave type to be prorated upon resignation. C) E-Leave Settings How many days in advance should an employee apply for this leave? – This setting controls how early employees must submit their leave applications. Blank – Employees can apply for leave at any time, including backdated leave. 0 – Backdated leave applications are not allowed. 1 – Employees cannot apply for backdated leave or leave for the current day. 2 – Employees cannot apply for backdated leave, today's leave, or tomorrow's leave. 3, 4, 5... X – Employees must submit leave applications at least X days in advance. Does this leave require third-party replacement? – When enabled, employees must select another employee as their replacement when applying for leave.
