Creating a New SubscriptionA valid subscription is required to use AutoCount HRMS. Each subscription is assigned to one (1) subscriber but can support multiple companies under the same subscription. Steps to Create a New Subscription: Go to the Subscriptions page. Scroll down and click Add Subscription. Select your country (Malaysia or Singapore). Click Select. You will be redirected to the subscription page. Select a plan to purchase. Choose your preferred payment frequency. Enter the required headcount for each module. Enter a promotion code (if applicable). Click Next. Enter the billing details: Billing Party – If not available, click Add Billing Party to create a new one Dealer Code (if any) Company Name Registration Number Payroll Year Click Next. Review all details carefully and ensure accuracy. Tick the checkbox to agree to the Terms and Conditions. Choose one of the following options: Skip Payment & Start Trial Confirm – Skip the trial and make payment directly. Complete the process to activate your subscription. Change Headcount for Payroll, eLeave & eClaim and eAttendance in Active SubscriptionUsers can adjust the headcount for Payroll, eLeave, eClaim, and eAttendance modules in an active subscription based on the number of employees required. Steps to Change Headcount: Go to Subscriptions. Click Manage next to the relevant active subscription. Click Actions and select Adjust Plan. Subscription RenewalUsers are encouraged to renew their subscriptions before or after expiry to ensure uninterrupted access to AutoCount HRMS and its subscribed modules. Steps to Renew Subscription: Go to the Subscription page. Locate the subscription that needs renewal and click Renew & Pay. The Plan Renewal tab will appear. Select one of the following options: Change Plan Renew Free Plan (if the previous subscription was a free plan)/Renew Current Plan Select Change Plan to proceed. You will be redirected to a new page where you can configure the headcount for each module. Enter the required values and click Proceed. Click Yes to confirm. You will be redirected to the Subscription Portal, where you can review the proforma invoice before payment. Click Save and Pay if you wish to proceed. Verify the payer details, then select your preferred payment method. Change of Subscription Plans (Headcount) for RenewalThis guide explains how to change your subscription plan during the renewal process. Important: Subscription plan changes are only allowed within the renewal window: Monthly subscriptions: Up to 1 week before expiry. Yearly subscriptions: Up to 1 month before expiry. Any changes to the subscription plan will only take effect after payment has been completed successfully. Steps to Change your Subscription Plan During Renewal: Go to the Subscriptions page. Locate the subscription you wish to renew and click Renew and Pay. In the Plan Renewal prompt, select Plan Selection. The plan options page will appear. Update the Headcount values for each module. ℹ️ Note: To increase headcount, enter a positive number To decrease headcount, enter a negative number After updating headcounts, click Proceed. You will be redirected to the Payment Confirmation page to review subscription details. Click Payment Confirmation to continue. A confirmation pop-up will appear showing the total amount breakdown. Review all details carefully, then click Confirm & Proceed to Payment. You will be redirected to the payment page. Payment Advice will be displayed. Click Save and Pay to proceed. How to Add an Additional Company?Users can add an additional company in the subscription page to support better HR management across multiple companies. Steps to Add an Additional Company: Go to the Subscription page. Identify the subscription plan you want to add the new company to, then click Manage. Click + New Company to start adding a new company. Fill in the required information: Company Name Registration Number Payroll Year Once completed, click Next to proceed. Choose one of the following setup options: Use Default Values (system default setup) Copy from Another Company Then click Confirm & Create. The new company will be created and will appear in your list of managed companies under the subscription. Delete CompanyUsers can delete a company that is no longer required. Please proceed with caution, as this action is permanent. Warning: Once a company is deleted, all associated data, including employee records, payroll transactions, leave records, claims, attendance records, and company settings, will be permanently removed and cannot be recovered. Steps to Delete a Company: Go to the Subscriptions page. Click Manage to view and manage the companies under that subscription. Locate the company you wish to delete, then click the trash bin icon next to it. A confirmation pop-up will appear. Click Yes to proceed with the removal. Warning: Once a subscription is deleted, all associated data—including companies, employee records, payroll transactions, leave records, claims, attendance records, and system configurations—will be permanently removed and cannot be recovered. Steps to Delete an Existing Subscription: Go to Subscriptions. Locate the subscription and click Manage. Click Actions and select Delete Subscription. Enter the Subscription ID and verify the details. Once confirmed, click Delete to permanently remove the subscription. ℹ️ Note: Deleting a subscription is permanent. All associated companies, payroll data, and records will be permanently erased. Deleted data cannot be recovered under any circumstances. Therefore, please ensure you are certain before proceeding. Transfer CompanyUsers can move a company from one subscription to another, even if the new subscription belongs to a different subscriber. Please note that the destination subscription must have sufficient headcount availability, or a company transfer fee will be charged. Steps to Transfer a Company to a Different Subscription: Go to the Subscription page. Locate the company you want to transfer, then click Manage. Locate the company and click Transfer. The Transfer Company window will appear. Enter the New Subscription ID where you want to move the company. Click Transfer Company. Click Yes to confirm the transfer. You will be redirected to the payment page. Click Save and Pay to complete the payment process. Once payment is completed, the company will be successfully transferred, and the new subscriber will gain access to it. Transfer SubscriptionThe Transfer Subscription feature allows users to transfer ownership of a subscription from one account to another. This is useful when there is a change in subscription ownership, company administration, or account management responsibilities. Steps to Transfer a Subscription: Go to the Subscription page. Locate the subscription you wish to transfer and click Manage. Click Actions and select Transfer Subscription. The Transfer Subscription window will appear. Enter the User Email of the new subscriber and click Transfer Subscription. ℹ️ Note: The recipient must not have any pending subscription transactions. A confirmation email will be sent to the new subscriber. Once the transfer is completed, the current subscriber will lose ownership of the subscription. Enter the Subscription ID to confirm the transfer request. Click Confirm Transfer. The new subscriber must click Confirm Transfer or use the confirmation link provided in the email. The Subscription Transfer page will be displayed. Click Approve to proceed. ℹ️ Note: After approval, the previous subscriber will automatically be converted into a Payroll User for all companies under the transferred subscription.
