Leave Entry (Append & Deduct)The Leave Entry feature allows employers or HR personnel to manually adjust employees' leave balances by either adding leave entitlements or deducting leave on behalf of employees. Add Leave (Append) – Increases an employee's leave balance by granting additional leave days outside the standard entitlement. Deduct Leave – Reduces an employee’s leave balance by applying leave on behalf of the employee. Steps to Append an Employee’s Leave: Go to Human Resource > Leave Management. Go to Leave Entry. Click + New Leave Entry. Select Add Leave (Append). Enter the details: Leave Type – Select the leave type. Reason – Enter a short remark. Days – Enter the number of leave days to add. Employees – Select the employee(s). Attachment – Upload supporting documents if required. Click Save. The employee’s leave balance will be updated accordingly. Steps to Deduct an Employee’s Leave: At the Leave Management page, select Deduct Leave. Enter the details: Leave Type – Select the leave type. Alternative Leave Type – Select an alternative leave type to deduct if the main leave balance is insufficient. Reason – Enter a short remark. Full Day Dates – Select the dates for the leave deduction. Select By Calendar – Click individual date(s). Select By Range – Highlight a date range. Select By Input – Enter the Start Date and Number of Days. Employees – Select the employees to be included. Attachment – Upload supporting documents if required. Click Save. Steps to Edit and Delete the Leave Entry: Go to the Leave Management page. Click the pencil icon to edit. Click the trash bin icon to delete. Steps to Send Announcement to the included Employee: Go to the Leave Management page. Click the megaphone icon. Enter the announcement message. Click Send. Leave CreditThe Leave Credit feature allows employers to grant additional leave entitlement to employees. Credit leaves function similarly to regular leave but may include expiry dates based on company policy. Steps to Add a New Leave Credit: Go to Human Resource > Leave Management. Go to Leave Credit. Click + New Leave Credit. Enter the details: Leave Type – Select the leave type for the credit leave. Reason – Enter a short description or remark. Expiry Date – Select the expiry date for the leave credit. Days – Enter the number of credited leave days. Employees – Select the employee(s) entitled to the leave credit. Click Save. The Leave Credit will be created successfully. Click the pencil icon to edit. Click the trash bin icon to delete. Steps to Send Announcement: Go to Human Resources > Leave Management > Leave Credit. Click the megaphone icon. Enter the Announcement message. Click Send. Leave TransactionThe Leave Transaction feature allows users to view and manage employee leave records, including leave applications that are approved, pending, rejected, or cancelled. Users can also approve pending leave applications or cancel existing leave records directly from the Leave Transaction page. Steps to Review Leave Application via Leave Transaction: Go to Human Resources > Leave Management. Go to Leave Transaction. Choose the Employee, Leave Type and Year. Click Search to load the leave transactions. The employee’s leave transaction will be listed. Steps to Cancel a Leave via Leave Transaction: At the Leave Transaction page, select the Employee, Leave Type and Year. Locate the leave and click the cross icon. Enter the leave’s Cancellation Reason. Click Cancel Leave. Steps to Approve a Pending Leave via Leave Transaction: At the Leave Transaction page, select the Employee, Leave Type and Year. Parent Leave TypeA Parent Leave Type creates a relationship between two leave types, where one leave type (the child leave type) is linked to another leave type (the parent leave type). When an employee applies for the child leave type, the system will deduct leave from both the child leave balance and the assigned parent leave balance. For example, if Annual Leave is set at Emergency Leave’s Parent Leave Type, both leave balances will be deducted when the employee applies for Emergency Leave. Steps to Setup Parent Leave Type: Go to Tools > Classifications. Go to Leave Type. Locate a Leave Type and click the pencil icon. Leave TypeThe Leave Type feature allows employers to define the types of leave available to employees based on company policies and entitlement rules. The system provides default leave types, including Annual Leave, Medical Leave, Hospitalisation Leave, Maternity Leave, Paternity Leave, and Unpaid Leave, which can be customised as needed. Steps to Create a New Leave Type: Go to Tools > Classification. Go to the Leave Type tab. Click Add New. Enter the Code and Description. Then, select the Leave Limit: Unlimited – Employees may apply for the leave without limitations. Limited without Advance Leave – Limited leave entitled for each employee and cannot be applied in advanced Limited with Advance Leave – Limited leave entitled for each employee and allows negative leave balance Configure Leave Entitle Calculation Settings (only applicable for Limited without Advance Leave and Limited with Advance Leave): How would you like this leave to be calculated? Full Year – The full leave entitlement for the calendar year is provided upfront. Monthly Earned – Leave is prorated and entitled monthly. When should the service year for this leave calculation start? Calendar Year (January 1st) – The leave entitlement is calculated based on the full calendar year, regardless of the employee’s join date. Employee’s Join / Confirm Date – The leave entitlement is prorated based on the employee’s join or confirm date within the calendar year. Allow Advanced Entitlement (For Monthly Earn Only)? Yes – Leave can be applied in advance after balance is zero. No – Leave is not applicable after balance is zero. Would you like to disable proration for this leave type? Yes – Leave will not be prorated. No – Leave will be prorated. Does entitlement need to be rounded up for the month of resignation/end of year? (only applicable for Monthly Earn) Yes – Leave will be rounded up based on months worked in the resignation year. No – Leave will not be rounded up based on months worked in the resignation year. Configure Leave Entitlement settings: Which parent leave type does this leave belong to? – Select the parent leave type for this leave. When the leave type is applied, the parent leave type will be deducted as well. How many days in advance should an employee apply for this leave? – Enter the number of days employees should apply for the leave in advance. Is this leave type specific to a gender? – Select All, Male or Female. Leave Request on Public Holidays / Rest DayPublic holidays and rest days are excluded from leave calculations by default. However, employers may allow employees to apply for leave on public holidays and/or rest days based on company policy or operational requirements. This setting is commonly used when: Employees are scheduled to work on public holidays or rest days. Public holidays and rest days need to be included in leave calculations. Leave records must accurately reflect attendance and payroll requirements. Steps to Enable Leave Applications of Public Holidays and/or Rest Days: Go to Tools > Classifications. Go to Leave Type. Locate the Leave Type and click the pencil icon. At the field, Should public holidays and rest days be included when applying for this leave?, select Yes. Leave Requires AttachmentThe Leave Requires Attachment setting allows employers to make supporting documents mandatory when employees apply for a specific leave type. When this setting is enabled, employees must upload an attachment before the leave application can be submitted. Advance Notice DaysAdvance Notice Days allows companies to define how many days in advance an employee must apply for leave, based on company policy. This helps ensure proper workforce planning and prevents last-minute absences that may disrupt operations. When this setting is applied, employees are not allowed to submit backdated leave applications, and must apply leave ahead of time according to the defined number of days. Example: If today’s date is 25 March 2025: 0 days – Leave can be applied starting 26 March onwards. 1 day – Leave can be applied starting 27 March onwards. 2 days – Leave can be applied starting 28 March onwards. 3 days – Leave can be applied starting 29 March onwards. Expiry Date on Carry Forward LeaveEmployers may define an expiry date for carried forward leave to ensure unused leave balances are utilised within a specified period according to company policy. Once the expiry date is reached, any unused carried forward leave will no longer be available for use. Stape to Maintain Expiry Date on a Carry Forward Leave: Go to Tools > Entitlement Group. Locate an Entitlement Group and click the pencil icon. Under the relevant Leave Type, locate the Expiry Date column. Click the calendar icon and select the expiry date for the carried forward leave. Cancel E-LeavePayroll users can cancel employee leave applications through the Leave Transaction page, regardless of whether the leave has already been approved. Cancelling a leave application will update the employee's leave balance and ensure attendance and payroll records remain accurate. Steps to Cancel an Approved Application: Go to Human Resources > Leave Management. Go to Leave Transaction. Define Employee, Leave Type and Year filters, then click Search. Locate the leave application and click the cross icon. Enter the Cancellation Reason and click Cancel Leave.
